Software for the process nobody sells
Every business has one process that no software company has ever heard of. It is held together by a spreadsheet, a few email rules and one person who knows the exceptions.
The work that is hardest to buy software for is usually the work that makes a business distinctive. It grew up over years, it fits the way this company does things, and nobody has ever written a package for it because there is no market of one.
So it ends up in a spreadsheet. Then a second spreadsheet. Then an email rule, a shared folder and a person who knows which column means what.
What that costs
Nothing, right up until it costs a great deal.
The file corrupts, or the person who understands it leaves, or the business grows enough that the manual steps stop being possible. Occasionally it is an auditor asking for a record that was never kept properly in the first place.
Until then the cost is quiet: time spent copying, errors found late, and decisions made on figures somebody assembled by hand and nobody wants to vouch for.
Some of what we have actually built
Not a list of sectors we target. A list of jobs that turned up, none of which had a package that fitted:
- A beam calculation program, now around thirty years old. The company that commissioned it was bought out, and three years later the new owner came back to us to move it onto a laptop with an automatic backup, because they still needed it
- Membership and class scheduling for a gymnastics club
- Survey and inspection records for an asbestos surveying firm
- A booking system for a small theatre
- Collection rounds for a waste oil business
- Order processing for a memorial masonry group, shipped in 1999 and still running
There are more, and the point is not the variety for its own sake. It is that a gymnastics club and an asbestos surveyor have nothing in common except the shape of the problem: a process the business depends on, with rules and exceptions nobody else has, held together by hand.
The beam calculator is worth dwelling on. When a business is acquired its software is normally the first thing to go, because the buyer has their own systems and every reason to consolidate. This one survived, and then three years later, as the company moved into brand new offices and a yard, they came back and asked us to carry it across onto a laptop and set up a backup that runs on its own.
A business that has just built new premises and could buy whatever it wanted chose to keep a thirty year old program. Nobody made that decision out of sentiment. They made it because the software still does the job better than the alternatives.
What we do
We build the thing the spreadsheet was standing in for. Entered once, checked automatically, recorded as it happens, and connected to the systems either side of it so nothing needs rekeying.
What the job is does not matter much. We have built stock control and order processing, production planning and CRM, and the ones that do not have a name are the same work: watch the process, understand the exceptions, build what matches.
And sometimes we say no
If the answer is a tidier spreadsheet, a change to the order of two steps, or a setting in software you already own, we will tell you that instead. It is a worse day for us and a better one for you, and it is the reason clients come back.
If you are weighing it up, when a spreadsheet stops being the right tool sets out the signs we look for.
What is included
What you get
Whatever the job actually is
Scheduling, inspections, compliance records, approvals, hire and returns, quoting, case management. The list is not fixed because the work never is.
One place for the record
Entered once, by the person closest to it, instead of copied between a form, a spreadsheet and an inbox.
Rules that enforce themselves
The checks that currently depend on somebody remembering, built in so the process cannot quietly skip them.
An audit trail
Who did what and when, recorded as it happens, because reconstructing it afterwards is the expensive version.
Work where it happens
Screens designed for a tablet or a phone when the job is on a site, in a van or on the floor.
Documents and photographs
Attached to the record rather than living in a folder named after a date.
Integration with what you keep
Your accounts package, your stock system, your CRM. We join to them rather than replacing them.
Reporting
The figures you currently work out by hand on a Monday morning.
How we work
What working with us looks like
- 1
Watch it being done
We follow the real job, with the person who does it, including the parts that only happen when something goes wrong.
- 2
Find the actual problem
Sometimes it is software. Sometimes it is one step in the wrong order, and we will say so rather than quote for a build.
- 3
Scope it
A written scope and a fixed price, clear about what is in and what is not.
- 4
Build in short cycles
Something to look at early, so feedback arrives while it is still cheap to act on.
- 5
Go live with us there
We are on site the first day it runs for real, because that is the day the questions arrive.
No obligation
Describe the job
Tell us what the process is and how it is held together now. We will tell you whether it is worth building.
Common questions
Our process is strange. Is that a problem?
No, it is usually the reason there is a project. If a package did it well you would have bought one. The odd part is often the part that makes you money, and it is the part worth building properly rather than working around.
How do we know it is worth building?
Count the hours the current way costs, and the mistakes. If it is one person half a day a week, it probably is not worth it yet and we will tell you. If it is several people, or one bad error a year, the sums usually answer themselves.
Can you just fix our spreadsheet?
Sometimes that is the honest answer and it is a much smaller job. The point at which a spreadsheet stops being the right tool is a real line, and we have written about where it falls.
What if we do not know exactly what we want?
Most people do not at the start, which is why we watch the job rather than ask for a requirements document. You will know it when you see it, so we show you something early.
